How do I turn on meeting notes in Google Meet? We write up every meeting by hand right now.

This is the biggest unrealized hours win on your plan. You had 31 meetings last month and someone typed up every one by hand. Meet can write those notes for you. You already pay for it; the switch is just off in Google Admin.

What I'd do

Turn it on for everyone first, then ask one team to try it for two weeks. That alone is about 26 hours a month back, before NotebookLM, before anything else.

Should HR try NotebookLM for reading long policy documents?

Yes, but after the walkthrough with Marketing, not instead of it. Nobody on your plan has opened NotebookLM yet. HR still reads long policy docs by hand about three times a week.

What I'd do

Week one: Dana shows HR the Gems and Gmail shortcuts Marketing already built. Week two: Jared tries NotebookLM on one policy folder. Do not send a link cold. Send a person who already uses it.

Someone suggested Otter.ai for meeting notes. We already pay for Gemini. Do we need it?

Not yet. Meeting notes in Meet does the same job and is already on your plan. Otter would mean another place to look, another login, and notes that Gmail's write help cannot see.

What I'd do

Run Meet notes for 90 days first. If the notes still feel wrong after that, revisit. But right now you have 26 hours sitting behind a switch you already paid for.
